I. INSTALLATION OF OFFICERS
The formality of the installation of officers and other elected personnel shall be at the discretion of the outgoing President at the April meeting of the College of Agriculture and Life Sciences Faculty Association (CALSF Association).
A. Officers of the CALSF Association assume their duties on May 1.
B. Members of CALS Commissions begin their terms July 1 as specified in the Constitution For CALS Governance.
C. Elected University representatives and Faculty Senators begin their term of service July 1 in the year of the election.
II. DUTIES

A. Officers
1. By virtue of their participation in college or university governance bodies, the President, Vice President, and President Elect shall be responsible for maintaining a dialogue between the faculty and the administration. As appropriate, actions of the College of Agriculture and Life Sciences Council need to be communicated to the faculty. In cooperation with the Dean, these officers will establish and review the process for this communication.
2. The Secretary-Treasurer shall:
a. keep and distribute minutes of all meetings of the Executive Committee and, for the faculty, the minutes of the general meetings of the CALSF Association.b. assemble and distribute an Annual Report of the work of the CALSF Association including the final reports of the standing and ad hoc committees.
c. request dues payments from members at the beginning of the academic year and, as needed, a second request at the beginning of the calendar year.
d. maintain accurate financial records, pay bills, and prepare a treasurer's report for each general meeting along with a financial summary for the Annual Report.
B. Senators
Senators serving in their third year on the Faculty senate are members of the Executive Committee of the CALSF Association. They will serve to facilitate two way communication between the senate and the CALSF Association.
C. CALS Commission Representatives shall serve as liason with the Commissions and the Executive Committee and ensure that general, timely input will occur for decisions regarding policy.
III. NOMINATIONS AND ELECTIONS

A. Procedure for
Regular Elections
1. The Nominations and Elections Committee shall strive to select nominees such that there can be broad representation from various departments and from teaching, research and extension.
2. A questionnaire shall be sent to the CALSF Association members by the Nominations and Elections Committee prior to the mid-year (January) meeting soliciting their interest in serving in any of the elected capacities. Information obtained is to be use by the Committee for both regular and special elections.
3. No person having served a full term as a CALSF Association officer or member of a CALSF Association standing committee shall be eligible for re-election to that same office within a period of one year.
4. A slate of candidates shall be prepared and submitted by the Nominations and Elections Committee at the mid-year meeting.
5. Consent of each nominee, including those nominated from the floor, shall be obtained before his/her name is placed in nomination.
6. Secret ballots shall be prepared by the Nominations and Elections Committee and mailed to all eligible voting members within ten (10) days after the mid-year meeting. The marked ballots shall be returned to the Committee before March 15.
7. The ballots shall be counted by the Nominations and Elections Committee and results reported to the President before the final meeting of the CALSF Association.
8. Only one nominee need be presented for President Elect if the Vice President or Secretary-Treasurer is a candidate for that office.
B. Procedure for Filling Vacancies for the President Elect, Vice President, Secretary-Treasurer, and elected University Committee members.The same procedure shall apply as for regular elections, except for dates. When a vacancy in an elected position is made known to the President, nominations are to be made by the Nominations and Elections Committee at the next regular or a called meeting of the CALSF Association, the ballots sent to the members within five (5) days and returned marked within ten (10) days after the meeting.
In addition to or in place of the procedures described in these Bylaws, the election of Senators to the Faculty Senate will be carried out by the Nominations and Elections Committee in accordance to the requirements specified by the Credentials and Elect ons Committee of the Faculty Senate.
C. Procedures for filling vacancies on non-elected University Committees.
The Nominations and Elections Committee shall submit to the Executive Committee nominees as requested by the University for service on University Committees such as the Committee on Athletics, Commencement Committee, Computer Committee, Library Committee Scheduling and Registration Committee, Traffic Committee, University Core Committee and for other committees that may require representation. Nominees will not be recommended to serve more than four consecutive years on any given committee.
IV. MEETINGS

A. Dates - Regular
meetings shall be held three times per year and others as necessary with at
least one in fall and one in spring semester.
B. Quorum - the quorum for all meetings wherein any official business is transacted shall be a minimum of ten percent (10%) of the membership. The Secretary-Treasurer is charged with the duty of declaring if a quorum is present.

VI. ADMINISTRATION AND STUDENT REPRESENTATION
Official dialogue and representation of Faculty concerns to the Administration, and Students is achieved through participation by the President, and Vice President as members of the College of Agriculture and Life Sciences Council and by faculty members ho may chair or are members of the College of Agriculture and Life Sciences Commissions or Advisory Committee(s) as defined in the Constitution of CALS Governance.VII. COMMITTEE ADMINISTRATION
Committees of CALS Association shall report on request to the CALSF Association and to the Executive Committee upon request of the President of the CALSF Association.All CALSF Association committees shall prepare minutes of their meetings, as a permanent record of committee activity. A full archival set of minutes of past meetings shall be maintained by each committee and shall be accessible, as required or requeste , through the CALSF Association Executive Committee.
